WhatsApp allows documents up to 2GB and media (photos and videos) up to 16MB. In practice most PDF failures come from the 16MB media path, weak connections, or the recipient’s device — and compressing the PDF below 16MB fixes nearly all of them.
WhatsApp applies different caps depending on how a file is sent. Documents — anything attached through the document picker, including PDFs, spreadsheets and archives — can be as large as 2GB. Media, meaning photos and videos sent through the gallery or camera, is capped at 16MB. Voice notes and audio files follow the media path too.
That gap explains a lot of confusing behaviour. The same 40MB file sails through as a document and fails as media. And because some devices and share sheets route a PDF through the media path rather than the document path, the file you thought had a 2GB allowance quietly gets measured against 16MB instead.
A 2GB ceiling is theoretical. Several things bite long before it.
Rather than fighting the routing question, the practical answer is to get any PDF you want to share below 16MB. Under that threshold it works on every path, uploads quickly on any connection, and downloads without complaint on the recipient’s end.
Most oversized PDFs are large for one reason: embedded images. A scanned contract, a photographed set of notes, or a design deck full of high-resolution artwork carries far more image data than it needs for on-screen reading. Compressing those images is where essentially all the savings are.

Image-based compression produces a PDF whose pages are pictures, so the text is no longer selectable or searchable. For a document that needs to stay searchable, or be signed or edited, keep the original and send the compressed copy only for quick viewing.
